Venue Policy

Respect and clean up of the property

  • Francis Woodlands staff will put away tables, chairs, and remove linens from the tables (if rented from Francis Woodlands).

  • Once your event is finished we ask that you clear tables of all personal items and trash but leave the table linens on the tables (if rented from Francis Woodlands).

  • All personal items need to be removed from the Francis Woodlands property by the end of your event or they will become property of Francis Woodlands.

  • All trash needs to be bagged and taken out to the dumpster. Trash bags are provided.

  • Floors need to be swept clean of trash and debris. Francis Woodlands staff will sweep and mop more thoroughly once they put tables and chairs away.

  • The kitchen must be wiped down and all surfaces left clean. Please place used dish towels in the kitchen sink. Check the refrigerator and other appliances that have been used and wipe those down as well. Remove any food or beverages from your event.

  • A cleaning fee will be deducted from the security deposit if the venue isn’t left in the same condition that it was found.


Property

  • The tables and chairs are included in your venue rental and will be set up and put away by the Francis Woodlands staff.

  • You are not allowed to attach anything to the walls with tacks, nails, or sticky tack.

  • Smoking and vaping are not permitted inside the building or the patio areas.

  • The use of confetti and glitter is prohibited anywhere on the property. The use of bubbles is prohibited inside the building.

  • Candles may be used if they are completely inside a container. No taper candles or open flames without a container that will contain the candle wax. If linens or tables are damaged due to candle wax clients will lose part of their security deposit.

  • No animals will be allowed inside the venue other than service animals with proper documentation.

  • Fireworks are prohibited on Francis Woodlands property other than sparklers used for “send-offs”. “Send-offs” with sparklers must be held at least 25 feet away from the building. Please dispose of extinguished sparklers in a separate trash receptacle outdoors. Professional fireworks are allowed with the approval of Francis Woodlands staff at least two weeks prior to the event.


Photography

  • Francis Woodlands reserves the right to obtain and use photographs for promotional purposes.

  • Photographers willing to share images with Francis Woodlands will be given credit for their work and should contact us personally to give us copyright release for promotional use.

  • Engagement photography sessions may be done at Francis Woodlands for no charge if your wedding and reception is booked at Francis Woodlands. You will need to reserve a time and date for the session so that it does not interfere with another event on our property.


Vendors

  • Caterers and vendors are welcome and must check in with the Francis Woodlands staff upon arrival. All vendors must carry a certificate of insurance for themselves and their hired help.

  • Francis Woodlands reserves the right to oversee, guide, or refuse a vendor.

  • A caterer or responsible party must leave the kitchen area clean in accordance with the posted cleaning requirements or a cleaning fee will be deducted from the contractual party’s security deposit.

  • The DJ or band must check in with the Francis Woodlands staff for proper sound system requirements and connections.

Safety

  • Children must be supervised by an adult at all times.

  • Entering or swimming in the lake is absolutely prohibited by anyone during any event.

  • Please lock all vehicles and keep your belongings supervised. Francis Woodlands is not responsible for lost or stolen articles.

  • No children are allowed to play outside by themselves. Adults should oversee any children near the dock and lake area at all times.

  • ALL alcohol must be served from the bar area by a bartender. No guests or wedding parties are allowed behind the bar. No one under the age of 21 can be served alcohol. No shots or kegs are allowed on the premises at all. Beer, wine, champagne, and mixed drinks can be served in an open bar or cash bar. Francis Woodlands operates without a liquor license so if a client wants to offer a cash bar their bartenders must have a liquor license and letter of permission to serve.

  • Francis Woodlands staff reserves the right to oversee alcohol consumption and escort any disruptive guests off of the premises.

  • Francis Woodlands and its staff assume no responsibility for alcohol consumption or designated driver arrangements. The contractual party is solely responsible for assuring the safety of their intoxicated guests upon departure.

  • Francis Woodlands and its staff are not responsible for accidents.
